Tasks

The task form is divided into two sections; the task attributes section and the execution information section. Initiators create the task and update the attributes section of the task form including task name, description, individual responsible etc. The individual or individual group responsible can update the execution information section of the task form including comments and status. In addition to the initiator and individual/group responsible, the admin can edit the task form and close out tasks en masse from the Mass Update Task list.

In addition to the review process, the Governance Portal allows for multi-tiered review through the creation of tasks. Tasks allow users to create and assign "work flow" steps for a particular object within the Governance Portal. Tasks provide actions or steps requiring completion by an assigned individual to certify a given result. Once a task is created and assigned, an email notification is delivered to the responsible individual. Tasks can be created individually for each object or via the workflow template. See Workflow Templates for additional information regarding workflow templates and tasks.

Note: Administrators can configure notifications to be sent based on a specific date or event (i.e. creating, updating, closing, deleting) in a task. See Notification Management for details.

Tasks can be created individually for the following objects:

The following table shows the number of configurable fields that have been added to the Task forms:

Note: The preceding configurable fields are applicable to all the Task areas with an exception of Task Templates.

Note: Individual tasks are driven by end-users, not scheduled automatically or centrally. This means that individuals involved with a given object (e.g. process or control) are responsible for assigning tasks to the next individual in the workflow once their step is complete. Once a task has been assigned, an email notification will be delivered. Tasks scheduled via the workflow template are scheduled and move through an automated process.
