The Governance Portal allows users to access the system in several different ways:

1. Assigned User Id and Password (Most Common)

   In most instances, users will log into the Governance Portal using a unique user id and password assigned by the administrator. The Portal Administrator creates, manages, and distributes this information. Users are assigned roles and privileges which determine what they can access and do within the Governance Portal.

   1. Open your Internet browser.
   2. Enter the URL for Protiviti's Governance Portal.

      

   3. Click Log In.
   4. Enter your Email.
   5. Enter your Password.
   6. Click the Log In link.

      

      Notes: If LDAP has been configured on your Portal, you will enter your network ID ("Username") and password and choose a domain from the drop-down menu.. See LDAP Functionality for additional information on the LDAP feature. If you are using mixed-mode authentication, the Login ID will be labeled as "Username". You can enter your Network ID or assigned user ID, depending on how your user account was set-up. Users may be automatically signed on to the Governance Portal when they open the URL based on the user profile account. After a users first login, a Windows pop-up may offer the user "Auto Complete", a feature in windows that remembers a user's login/password. For security reasons, it is not recommended that users allow this feature. Users accessing specific areas of Protiviti's Governance Portal via an external hyperlink (e.g. in an email that directs the user to an RCM) will be prompted to enter an email and password. Once authenticated, the Governance Portal will direct the user to the specific area.

   7. Result: After a successful log in, the user is presented with a defined set of tabs on the navigation ribbon on the top and on the left navigation column on the main screen.
2. Self-Registration

   Note: Self Registration is only available for use with the Assessment Management module.

   The Governance Portal allows users who have not received an id and password from an administrator to self register in the system. Organizations utilizing the Assessment Management system and open assessments (questionnaires that may be answered by anyone in the organization) may utilize self registration. This process requires the user to enter basic information and create a unique id and password.

   Users who self register are automatically assigned the following roles:

   • All Users
   • Assessor

   Access to additional features and functionality must be granted by the administrator through roles and permissions.

   1. Open your Internet browser.
   2. Enter the URL for Protiviti's Governance Portal.

      

   3. Click Log In on the home page.

      

   4. Click Register on the Log In page.

      

   5. Complete the User Registration form.

      Notes: Fields marked with an * are required. The Network ID field may also be required if LDAP has been configured on your Portal. See LDAP Functionality for additional information. Passwords must be at least 6 characters and must include letters and numbers.

   6. Click Submit.
3. Anonymous User

   Organizations utilizing the Assessment module may post questionnaires to the home page which can be completed anonymously by the user. For example, organizations may want to post a whistle blower survey which allows employees to provide valuable feedback without being identified. Anonymous users may access the Governance Portal home page and anonymous surveys. They do not have access to any other features within the Governance Portal.

   1. Open your internet browser.
   2. Enter the URL for Protiviti's Governance Portal.
   3. Click the appropriate link on the home page to complete the anonymous assessment or view other information and news listed.
4. Protiviti Hosted Applications

   This option is available only to the Internal Audit Portal.

   When internal audit work is outsourced or co-sourced to Protiviti, the Internal Audit Portal housing the work papers, findings etc. will be located on a Protiviti server. Access to client Portals, through the menu illustrated below, is managed centrally to ensure client confidentiality and security. Access to content within the IA Portal is the responsibility of the Administrator (e.g. creating ids/passwords and linking roles to the user).

   1. Access the IA Portal Server at https://iaportal.protiviti.com

      

   2. Enter your network user id and password.
   3. Select your domain from the drop-down list.

      Note: For non-Protiviti employees, the domain will be "client access".

   4. Click Sign In.

      Notes: Users will only see a list of client IA Portal's that they have been granted access to based on their current work load Users with access to a single IA Portal will automatically be logged into that Portal. Their home page, based on their roles within the Governance Portal, will determine what is displayed.

   5. Click the name of the IA Portal you wish to access.

      Note: The user is automatically logged in and may begin working.

      To Log Off of the Hosted Application

   6. Click the Sign out icon in the hosted application status bar.

      

      

Note: Self-Registration and Anonymous User access are only available when using the Assessment Management module.

Send Password

If you forget your password, the Send Password feature will send a random password to the email address associated with your ID that is in the database.

1. Enter your email address in the email field on the login page

   Note: The address must be on record in the database and entered in the exact format.

2. Click Send Password to receive an email containing a reset password.

   Notes: The environment and its "email" capability dictate the behavior/existence of this feature. This feature is not available for users logging in with their network ID and password. See LDAP Functionality for additional information.
