GP - Sec - Create a View Definition

1. Access the View Definitions page.
2. Expand the root folder in which you wish to create a view definition.
3. Expand the sub folder, if necessary.
4. Right-click the folder and select Add New View Definition.
5. Enter a name for the View Definition in the Name text box.

   Note: Name is a required field.

6. Source (read-only): Displays the core search from which you will use to pull your subset of fields. What core search appears depends on the folder from where you added the view definition. There are three types of core searches:
   • RCM Core Search: Shows RCM related linkages and objects
   • Project Core Search: Shows fields and linkages between all project related activities and related objects
   • Assessment Core Search (Legacy): Shows all assessment related linkages and objects for the Legacy Assessment Management system (TSA).

     Note: This is related to the Legacy Assessment Management System only. To access information for the Assessment Management Engine, use the RCM Core Search.

   Following are the three additional searches:

   • Entity Hierarchy: Refers the RCM Core Search to return results.
   • Project Scope: Refers the Project Core Search to return results.
   • Assessment Scope: Refers the Assessment Core Search to return results.
7. Customize your view definition with the following tabs.
   • General

     The General tab allows you to select the columns you would like the view definition to display.

     1. Filter Columns: Select Objects, Fields, and View Fields from the drop-down under Filter Columns section. View Fields drop-down is for Searchable/Non-searchable fields. Non-searchable fields would be displayed as greyed-out in the Available Columns area and cannot be moved to Selected Columns area under view definition in any case and thus can never be included in any search. Also,

        Note: Fields which are not present in a view definition but present in a search will be lost post upgrade until added them again in the existing view definition.

     2. Add columns to the view definition by highlighting a column name in the Available Columns list and clicking Move Right. The selection will be moved to the Selected Columns window. Conversely, remove columns from the search by highlighting a column name in the Selected Columns list and clicking Move Left. The selection will be moved to the Available Columns window.

        Note: Hold down the Ctrl or Shift key when selecting multiple columns.

     3. Click Move All Right to move all of the columns from the Available Columns list to the Selected Columns list, or click Move All Left to move all of the columns from the Selected Columns list to the Available Columns list.
     4. Highlight a column name and use the Move Up or Move Down arrows in the Selected Columns list.

        

   • Access

     The Access tab allows you to provide access to a new view definition. In addition, you can also modify access for an existing view definition.

     Note: If you do not assign a role to a view definition, it will be accessible to all users in the system.

     1. Add roles to the view definition by highlighting a role name in the Available Roles list and clicking Move Right. The selection will be moved to the Selected Roles window. Conversely, remove roles from the search by highlighting a role name in the Selected Roles list and clicking Move Left. The selection will be moved to the Available Roles window.

        Note: Hold down the Ctrl or Shift key when selecting multiple roles.

     2. Click Move All Right to move all of the roles from the Available Roles list to the Selected Roles list, or click Move All Left to move all of the roles from the Selected Roles list to the Available Roles list.
     3. Highlight a role name and use Move Up or Move Down arrows in the Selected Roles list.

        

   • Editable Objects
   • Editable Fields
   • Pre-Filter
   • Properties

     The Properties tab allows you to determine a default selection for the object type in the Fields tab and the Filter tab in the Reports and Searches window. Select an object type from the Default Object drop-down list so as to define it as the default object type while creating a new search.

     Note: For more information, see the Filter section in Search Interface - Create a Search.

     

     Note: Select All Objects to select all of the available objects in the drop-down list.

     Note: By default, the General, Access, Pre-filter, and Properties tab are available for all view definitions. The Editable Objects and Editable Fields tab will not be available for Hierarchy and Assessment related view definitions. Also, the Editable Fields and Editable Objects tabs are enabled only if the Is Search Editable checkbox is checked under the Editable Objects tab. A Pre-Filter added to an existing View Definition will impact the search results for corresponding saved searches.

8. Click Save to save the view definition, or Undo to undo the changes you have made.
