Manage Projects and Events

The Project & Events model enables you to catalog one time efforts and occurrences that impact the entity.

A project is a discrete corporate initiative with a definitive start and end and concludes in a deliverable. Project examples include:

• Six sigma initiative
• ERP system roll-out
• Acquisition or divestiture of assets

An event is a planned, unplanned or regulatory occurrence that must be managed. Event examples include:

• An unforeseen change - such as a new law or business dynamic
• A planned change - such as a product launch or opening a new location
• A regulatory change that affects a company.

Projects & events typically have a set of objectives, risks and controls that need to be managed, and potentially documented, self assessed and/or incorporated into an internal project. You are allowed to capture documentation as well as perform a risk and control matrix analysis for a Project/Event. From the entity hierarchy you can add projects and events and link them to organizations, processes, IT applications, and custom entities, as well as add and build out RCMs within a project and event.

Access IT Applications in the Entity Hierarchy tree

1. Access the Entity Hierarchy
   1. Select the Default GRC context from the context menu.
   2. Click the GRC Register tab.
   3. Select Entity Hierarchy from the Frameworks group.

      

2. Expand the Projects and Events folder. The list of projects and events will appear below the folder.

   

View Project and Event

Double-click the project and event you wish to view or right-click and select View Object. The project and event attributes page will appear in the window on the right-hand side of the screen.

Edit Project and Event

1. Right-click on the project and event you wish to edit and select Edit Attributes.
2. Make your changes to the Project and Event form.

   

   For each Project and Event you are allowed to manage a set of attributes that describes the project, its status and key individuals.

   • Name: Enter a unique project/event name.
   • Description: Enter a description.
   • Category: Select project or event from the drop-down list.
   • Type: Select a type from the drop-down list.

     Note: Selecting "Information Technology" will display this project in the IT projects list.

   • Status: Select the status from the drop-down list.
   • Priority: Select a priority from the drop-down list.
   • Project and Event - Project Manager: Click Select User or Select User Group and then search for a user name or user group to enter the project manager of the project/event.
     • Enter text that contains the name, email address or network ID of the user you wish to select and click Execute or click Show All.

       Note: A list of users containing, (not equaling), the entered text will display in the search results.

     • Click the name of the user or click Select No User to indicate the user is not required.
   • Sponsor: Click Select User or Select User Group and then search for a user name or user group to enter the sponsor of the project/event.
     • Enter text that contains the name, email address or network ID of the user you wish to select and click Execute or click Show All.

       Note: A list of users containing, (not equaling), the entered text will display in the search results.

     • Click the name of the user or click Select No User to indicate the user is not required.
   • Start Date: Click Calendar and then click a date on the calendar to enter.
   • End Date: Click Calendar and then click a date on the calendar to enter.
   • Budget Cost: Enter the estimated budget for the project/event.
   • Budget Hours: Enter the estimated number of total hours.
   • Key Deliverables: Enter any key deliverables that are expected.
   • Documentation Status: Provides a link to create or view documentation for the project/event.
   • Risk Matrix Status: Provides a link to create or view the risk control matrix.
3. Click Save.

Add a Project and Event

1. Right-click on the Project and Event folder, select Add Object and select Project and Events.

   

2. Fill out the fields in the Project and Event form.

3. Click Save.

Add an RCM to a Project and Event

1. Right-click on the project and event where you wish to add the RCM, select Add Object and select RCM.

   

2. Fill out the fields in the RCM form.
3. Click Save.

   Notes: The RCM option will not be available if the project and event's RCM has already been chosen. See Create a Risk Control Matrix for more information on completing the RCM form.

Link a Project and Event to Another Entity

1. Right-click on the Project and Event you wish to link from inside the Project and Events folder.

   

2. Select Link Object and choose the entity type you wish to link to the project and event.
3. Mark the checkboxes next to the entities you wish to link in the search list.

   Note: Click Edit Search and utilize the list search functionality to modify your selection and focus your results. See Utilize List Searches for more information.

4. Click Save.
